How does Say Safe work?

Employees can submit an anonymous form via the Say Safe web page, they can call a hotline number, or they can submit a text.

 

When is Say Safe available?

While the online reports and hotline may not be monitored 24/7/365, Say Safe is available for reporting 24/7/365. Reporters who are concerned for their immediate physical safety or the safety of others are encouraged to call 911 before making any reports through Say Safe. 

 

What types of concerns can an reporter report?

Reporters can report concerns regarding ethical behavior, fraudulent behavior, financial and reporting irregularities, suspected illegal activity, or even discriminatory or harassing behavior.

 

What happens after Say Safe receives a report?

Each employer signed up with Say Safe services has a secure online folder available to their selected report recipients. As reports are received, the case management tool will be updated to reflect the date of the report, report details as received, an escalation status, and any additional recommendations. Unless the reporter gives permission to disclose their name, information in the case management tool may be edited to protect the reporter. When new information is uploaded, Say Safe will email the selected report recipients that a new report is available.

 

What should I do with the information from a report?

First, hear what the reporter is sharing and ask yourself if there is truth in what is being said. Often, reports like this can be indicators of a larger problem of which you had no awareness. Use the reported information to have discussions with your managers and leaders, as well as your business advisors (legal, financial, etc.) to determine actions and improvements you can make. Once you’ve acted on a report, use it as an opportunity to connect with your employees about what you’re doing to improve the workplace and your processes. Because the reporter is anonymous, this may be the only way you can let the employee know that they were heard and you took corrective action. Also, use the reporting and resulting actions you take as an opportunity to update your employee-facing handbook and policies and any applicable customer, board, or public policies.

Do not try to determine who filed the report. Retaliation is illegal. Examples of illegal retaliation include: terminating an reporter; demoting an reporter; reducing an reporter’s wages; relocating an reporter’s work location or shift; changing duties; or harassment or intimidation.  

 

What languages are supported by Say Safe?

Currently, Say Safe supports only English.

 

As a subscriber to Say Safe, what do I receive?

In addition to our services as described above, you will also receive a model whistleblower policy to customize to your state and company, as well as a digital poster that you can provide to your employees.

 

Do I have to have a reporting/whistleblower policy?

It depends on what your company’s status and industry requires, as well as any ESG certifications you may have. Whether your company is required to or not, consider the non-compliance value of making this service available to your employees and other stakeholders.
